Firm Administrator

Miami law firm seeks Firm Administrator to join the team. Must have at least seven years of experience managing a small to medium sized law firm working with the owners to effectuate success. This management role is not remote and is on-site, in the office, with some flexibility allowed as an exempt position. The salary is into the six figures plus employee benefits and retirement plan. Hours are 9-5.

About the Firm Administrator Candidate

The firm is looking for a “hit-the-ground” running candidate who requires little direction, having been in a similar position with the knowledge and resources managing a successful law firm. Litigation law firm experience is a plus. Must have knowledge of legal and accounting software and document management systems.

About the Firm Administrator Role

Handle all day-to-day functions of running a law firm, including office services, equipment, supplies, billing, facilities, business insurances, scheduling, office supplies inventory, vendors, and all other administrative processes.

Champion the firm’s successful and positive atmosphere by leading employees professionally and skillfully.

Foster excellent relationships internally and externally with employees, partners, associate attorneys, vendors, and valued referral sources.

Manage and oversee budgets and financials to keep the firm on track and profitable and advise the owners of any issues.

Implement policies and procedures resulting in increased efficiency and productivity; Spearhead updates as needed.

Must have a sense of pride and skill in handling day-to-day operations to ensure the law firm runs efficiently at all levels.

Conduct onboarding and training of new employees; Maintain an Employee Handbook and procedures manual.

Provide creative and uplifting employee relations ideas and activities to increase employee cohesiveness and continuing the tradition of a being a “great place to work.”

Manage payroll, ensuring it is accurate and timely. Track and maintain PTO and payroll deductions.

Communicate with all members of the firm in a way that fosters a positive and proactive work environment.

Direct the Human Resources function, adhering to all state and federal laws.

Handle benefits administration and enrollments; Communicate the firm’s benefits to employees fostering excellent employee relations.

Anticipate staffing needs and expertly handle recruiting, interviewing, hiring, reviews, counseling and terminations.

Work collaboratively with the accounting personnel and partners in managing the finances and analyzing expenses.

Lead the management team, including IT, Marketing, Accounting and Partners for high efficiency throughout the firm.

Prepare meaningful management reports and discuss with the partners as needed.

Uphold high standards of confidentiality, decorum, professionalism and sound judgment with practical decision-making skills.

Be aware and active in your professional development, staying up to date on law firm management trends and employment laws by being a part of relevant professional organizations, such as ALA, SHRM, and other continuing education. CLM certification preferred.
