Executive Legal Assistant to Managing Partner
A premier, boutique real estate law firm in Boca Raton, Florida, specializing in transactional, land use and zoning services has an amazing opportunity for an Executive Legal Assistant to support the Managing Partner exclusively. This Legal Assistant role is a full-time, on-site position.

Responsibilities – Legal Assistant
Provide administrative support to Partner and enhance office effectiveness
First line of communication with clients, contractors, city/county officials, etc.
Monitor and calendar deadlines and coordinate calendars, scheduling meetings with clients, consultants, and elected officials adhering to the Sunshine Laws.
Answer and direct phone calls
Maintain daily contact lists
Prepare attorney for meetings/hearings (gather agendas/back-up)
Daily file management (including preparing file for digital off-site file closing)
Prepare basic legal documents and correspondence.
New matter intake: prepare fee letter, obtain client authorization letter, receive and process executed documents and retainer check (when applicable), open file (in PC Law and physical file)
Prepare and maintain lobbyist registration and meeting logs
Receive and process political contribution requests
Input time entries, prepare pre-bills and send out monthly invoices
Follow-up and advise attorney of delinquencies
Qualifications – Legal Assistant
Proven legal assistant with 5+ years of experience, preferably on a Partner level. Experience in zoning and land use transactions is preferable but not required.
Resourcefulness in addressing issues and requests with limited direction and can proactively and proficiently carry out recurring work and special projects independently.
Able to maintain confidentiality
Excellent organizational, time management, and planning skills
Ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Superior computer operational skills with a high proficiency in MS Office and Microsoft Word; PC Law is a plus.
Ability to work independently and as part of a team
Benefits

Daily physical attendance in the office is required.
Compensation $65,000 – 75,000 plus benefits.
