Legal Admin Assistant – Trusts & Estates (Part time)

We are seeking a legal administrative assistant to join the Trust & Estates group at a law firm in Naples. Permanent, part-time schedule is Monday-Thursday from 10am-4pm. (This is a unique opportunity to work less hours is a law firm–we are not seeking candidates are are eventually looking for a full time job.)

Candidate should be seeking to join a professional team in a client focused, hard-working, dynamic and caring office environment. The law firm seeks people to be honest, friendly, professional, loyal, confident, unselfish, diplomatic and tactful. Candidate should have a desire to foster and build strong relationships in a client service industry.

The Legal Assistant position is responsible for performing daily legal and administrative tasks/office duties, providing excellent customer service, and “helping out” where necessary.

Candidate should have 2-3 years minimum of experience in a law or professional office, preferably in the area of estate planning, estate and/or trust administration or fiduciary services. Candidate should be both someone who is teachable as well as willing to share their gifts and talents for the good of the team and ultimately our clients.

Responsibilities – Legal Administrative Assistant

  • Provide excellent client services in person, through email and over the phone
  • Preparation of correspondence and other written forms of communication
  • Scheduling appointments on attorney’s calendar
  • File creation and organization, opening/closing files, etc.
  • Maintaining electronic and paper files of legal documents.
  • Monitoring projects as directed
  • Document retention and security
  • Data entry, scanning
  • Drafting legal documents and other ancillary documents under supervision of attorneys
  • Following office processes and procedures
  • Assisting with any administrative tasks or office duties that arise, including answering phones and attending meetings or signings
  • Any/all other legal assistant or paralegal duties as assigned

  • Must possess a deep sense of integrity, honesty, confidentiality and professionalism
  • Strong communication skills (written, verbal and listening)
  • Reliable and punctual
  • Ability to manage projects, work independently, and meet deadlines
  • Detail oriented with the ability to see, understand and work toward the big picture
  • Reliable, hard-working, multi-tasker
  • Strong initiative, aware and ability to detect a task that needs to be completed and get it done
  • Strong problem-solving abilities
  • Problem identification, analysis and ability to make recommendations
  • Excellent attention to detail, including excellent proofreading skills
  • Proficiency in use of Microsoft Office products (Outlook, Word, Excel)
  • Willingness and ability to learn new software and procedures
