Operations Manager
Red Bank, New Jersey family law firm seeks an Operations Manager to work in-office and assist the owner with business operations, financial management, billing, human resources, and office facilities. The Firm has a team of ten and is rapidly growing!
Responsibilities
In the Operations Manager role, you would report to the Owner and Director as follows:
Supervise non-attorney staff, including performance reviews and manage PTO and payroll; Write job descriptions and job postings, arrange interviews, and prepare job offer packages
Carry out policies and procedures; Update when necessary
Training and orientation of new employees on systems, policies, procedures, billing, and timekeeping; Train time keepers on proper wording billing narratives
Manage the firm’s information technology (IT) functions and software, including document management, content management (CMS), and contact resource management (CRM); Tend to software updates and new software migrations; Manage backup systems
Monitor and improve staff production and workflow processes to ensure efficiency, productivity, and profitability
Design and generate clear and purposeful management reports regularly, including case management, billing, projections, timekeeper, realization reports, and accounts receivable; Conduct weekly update reporting meetings with owner and director
Manage A/R collections, cash flow, credit card payments, and refunds
Maintain physical inventory of assets, computer equipment, office equipment, and furniture needs/moves; Handle purchasing, deliveries and facilities
Oversee records and retention information, storage and retrieval (case management from open to closed files); Manage resource library, including all reference materials and subscriptions
Requirements
Previous law firm management experience
Good mathematical and light bookkeeping abilities, accounts receivable experience, and familiarity with law firm billing
Superior technical abilities, project management, and software savvy; Database expertise
A background in human resource management
Resourceful, proactive, and dependable, with the ability to meet certain KPIs for success and growth
Professional and effective written and oral communication abilities
Bachelor’s degree or the work equivalent in relevant business management experience
